Travel Policies

Deposit & Payment Policy

  • Deposits are non-refundable

  • All payments are final due to third-party vendor contracts

  • Missed payments may result in automatic cancellation
     

Cancellation Policy

  • Because we secure hotels, transportation, and excursions in advance, no refunds are issued once payments are made.

  • This is why travel insurance is strongly recommended.

Travel Insurance (Highly Recommended)

For select international trips, proof of travel insurance may be required to participate.
We recommend purchasing coverage immediately after booking.
 

Late Payment Policy

  • Grace period: 48 hours

  • After that, we will send a follow up email about the payment if no response in 48 hours your spot will be given to the next customer.
     

Trip Transfer Policy

If allowed by the destination/vendor:

  • Travelers may transfer their spot to another individual

  • Transfers may include administrative or vendor fees

  • No transfers are allowed within 30 days of travel
     

Liability Policy

Black Pearl Odysseys is not responsible for:

  • Flight delays or cancellations

  • Lost luggage

  • Medical emergencies

  • Natural disasters

  • Pandemic-related travel restrictions

  • Changes in vendor availability

This is another reason travel insurance is essential.
 

Communication Policy

All inquiries are responded to within 24–48 hours.
Important updates are sent via email, and travelers are responsible for checking communication.
 

Code of Conduct

We curate safe, respectful, and inclusive travel experiences.
Travelers are expected to:

  • Follow local laws

  • Respect fellow travelers

  • Honor cultural norms

  • Participate in scheduled activities on time

Failure to meet conduct standards may result in removal from group activities.
